Website Policies & Participant Guidelines


Note: This document covers the Privacy Policy, Cancellation Policy, Dress Code, and Farm Rules for The Soul Silo™ and its programming brands. It should be reviewed and updated whenever new services, programs, or operational changes are introduced.


1. Privacy Policy

1.1 Who We Are

The Soul Silo™ ("we," "us," or "our") is a Saskatchewan corporation operating as The Soul Silo Collective, Inc., with programming brands including Being Among Horses Wellness and Oncology Training International (OTI). This Privacy Policy applies to information collected through our website, registration forms, booking platforms, and program communications.


1.2 Information We Collect

We may collect the following categories of personal information:

• Contact details: name, email address, mailing address, phone number

• Health and wellness context: information you voluntarily share when booking or participating in EAL sessions, oncology esthetics programs, or wellness retreats

• Payment information: processed securely through our third-party payment platforms (Square, GoDaddy Payments, PayPal); we do not store full payment card details

• Communications: emails, inquiry forms, and program correspondence

• Website data: usage analytics, cookies, and device information collected through standard web tools


1.3 How We Use Your Information

We use your information to:

• Deliver the programs, retreats, and services you have registered for

• Communicate with you about scheduling, updates, and program materials

• Process payments and issue receipts

• Fulfil professional and legal obligations

• Improve our programming and website experience

We do not sell, rent, or trade your personal information to third parties for marketing purposes.


1.4 Confidentiality in Program Settings

Confidentiality is a foundational element of The Soul Silo™ and Being Among Horses code of ethics. Information shared by clients and participants during sessions — whether in equine-assisted learning, wellness retreats, or educational programming — is held in strict confidence. This includes any medical history, personal health information, or sensitive disclosures shared in the course of receiving services.

Confidentiality is equally integral to our professional training environments through Oncology Training International. Students’ personal disclosures, learning context, and any client case information shared within training settings are treated with the same standards of professional discretion.

Session and training content is not disclosed to outside parties except where required by law or to prevent serious harm.


1.5 Data Sharing

We share personal information only in the following limited circumstances:

  • With service providers (e.g., payment processors, LMS platforms, email tools) who are contractually bound to protect your information
  • With professional licensing bodies or regulatory agencies where required
  • With your consent, when applicable
  • When required by law or court order

Students enrolled in the NeuroSomatic Care for Estheticians™ program may be asked to provide separate consent for the following: "I consent to receiving information about Hale & Hush skincare products recommended within this program." This consent is optional and is collected independently; it does not affect your enrollment or participation in the program.


1.6 Data Retention

We retain personal information for as long as necessary to deliver services, meet legal obligations, and support our professional records. Health-related or session notes may be retained for a minimum period consistent with applicable professional standards.


1.7 Your Rights

Canadian residents accessing services through The Soul Silo™ and Being Among Horses Wellness are protected under the federal Personal Information Protection and Electronic Documents Act (PIPEDA) and the Saskatchewan Health Information Protection Act (HIPA) where applicable. You have the right to:

• Access the personal information we hold about you

• Request correction of inaccurate information

• Withdraw consent for non-essential processing (subject to reasonable notice)

• File a complaint with the Office of the Privacy Commissioner of Canada

Students and participants enrolled in Oncology Training International programs outside of Canada are subject to the privacy legislation applicable in their own jurisdiction. OTI will make reasonable efforts to uphold equivalent standards of data protection regardless of location.

1.8 Cookies & Website Analytics

Our website may use cookies and third-party analytics tools to understand how visitors use the site. You may adjust your browser settings to decline cookies; however, some site features may be affected.

2. Cancellation & Rescheduling Policy

Effective Date: June 8, 2026 Last Revised: 2024


2.1 Individual Sessions

We require a minimum of 48 hours’ notice to cancel or reschedule an individual session without penalty.

• Cancellations with 48+ hours’ notice: full refund or credit applied to a future booking.

• Cancellations with less than 48 hours’ notice: 50% of the session fee will be charged.

• No-shows: see Section 2.5.


2.2 Retreats & Multi-Day Programs

Retreats and group programs require a minimum of 6 registered participants to proceed. If minimum numbers are not met, the event will be cancelled and all registered participants will receive a full refund.

For participant-initiated cancellations, the following refund tiers apply:

• More than 30 days’ notice: full refund.

• 15 to 29 days’ notice: 50% refund, or full credit toward a future event.

• Fewer than 14 days’ notice: no refund. A credit toward a future event may be issued at our discretion.

Bookings are non-transferable to another person. You may request a transfer of your registration to a different event or treatment date; however, two conditions must both be met: the event you are leaving must still meet the minimum of 6 registered participants after your departure, and the event you are transferring to must also have a minimum of 6 confirmed registrants. If either condition is not met, a transfer cannot be accommodated. Please contact us to discuss your options.


2.3 Weather & Emergency Cancellations

If we must cancel a session or event due to weather, unsafe conditions, or facilitator illness, all registered participants will be offered a full credit or the option to reschedule at no additional cost.

In the event of a weather or emergency cancellation, we will notify you by text message as promptly as possible. Please ensure your contact number on file is current and able to receive text messages.


2.4 Oncology & Medical Circumstances

We understand that health circumstances can change unexpectedly. We are flexible and compassionate when it comes to cancellations related to medical or oncology-related situations, within reason.

If last-minute cancellations due to health concerns become a recurring pattern, we reserve the right to pause future bookings until the client is well enough to participate consistently. This is not punitive — it is to ensure your experience is meaningful and your investment is protected.


2.5 No-Shows & Late Arrival

If you do not attend a scheduled session without prior notice, the session is forfeited and the full session fee applies.

We understand that finding us for the first time can be challenging. A Google Maps location pin will be sent to you in advance of your appointment. If you are running late or cannot locate the property, please text or call us at 306-531-3008.

All participants are expected to arrive on time, or just before their scheduled appointment. Our sessions run on a set schedule and late arrivals affect the full experience. We appreciate your punctuality.


2.6 How to Cancel or Reschedule

To cancel or reschedule, please contact us by text, WhatsApp, or email:

Please contact us during business hours where possible. If your appointment is scheduled outside of regular business hours, a text message is the most reliable way to reach us in time.

Cancellations are considered confirmed only once you have received a reply from us acknowledging the change.


3. Dress Code

The following dress guidelines apply to all participants attending in-person sessions at The Soul Silo™ and any associated outdoor or farm locations.


3.1 General Principles

All equine exercises take place outdoors. Dress appropriately for current weather conditions, including heat, sun, wind, and rain. Farm environments are hard on clothing — do not wear anything you are not willing to get dirty, stained, or damaged.


3.2 Recommended Attire

• Tops: Comfortable sleeved t-shirts or long-sleeved shirts. Avoid overly baggy tops that could catch on equipment or animals.

• Bottoms: Comfortable jeans or work pants appropriate for physical activity around horses. Avoid loose or baggy pants that could snag.

• Footwear: Closed-toe, protective shoes or boots only. No sandals, open-toed shoes, or flip-flops.


3.3 Modesty

Participants and staff work in close proximity during sessions. Please dress modestly: avoid low-cut necklines and low-rise waistbands, as bending, reaching, and working with horses can inadvertently expose more than intended. Management and team members will always conduct themselves respectfully; we ask the same in return.


3.4 Flowpresso® Sessions

Flowpresso® sessions are scheduled before equine sessions. This sequencing is intentional — we want the body to be as clean as possible before entering the Flowpresso® suit.

Please wear or bring the following for your Flowpresso® session:

• Long-sleeved top: soft, moisture-absorbent fabric (e.g., light cotton or bamboo). Avoid bulky or textured fabrics.

• Long pants: full-length, soft, and close-fitting enough to sit comfortably inside the suit.

• Socks: clean socks are required.

Your Flowpresso® session takes place inside the grain bin suite, which also serves as your private change space. Arrive in your farm attire and change into your Flowpresso® clothing on-site before your session begins.

If you do not have suitable Flowpresso® attire, a limited selection of loungewear is available to borrow. Please let us know in advance so we can ensure your size is available.


4. Farm Rules — The Soul Silo™

We choose to provide an environment where all beings — human, equine, and otherwise — are respected. The following rules apply to all visitors, participants, and guests.


4.1 Around the Horses

• Anyone under 18 years of age must wear a helmet at all times around the horses.

• Do not tie horses to the round pen or panels. Ground posts are the correct option.

• No smoking, lighters, matches, or any flammable materials on the premises.

• No running, screaming, or jumping around the horses, particularly while working with them.

• No personal animals on the property. Certified service dogs are the only exception; please advise us in advance.

• Do not feed any animals. This includes horses and any other animals on the property. No carrots, apples, horse cookies, or any other treats — please do not bring snacks for the horses.

• Do not enter any gated areas where horses are kept unless directed to do so by a facilitator.

Children must be supervised by a parent or guardian at all times. Unruly behaviour around horses — including climbing gates or fences, slapping at horses, screaming, or running — is not acceptable and poses a serious safety risk. If a parent or guardian is present and does not address unsafe behaviour, future visits may not be permitted.


4.2 Equipment & Property

Please treat all equipment, spaces, and shared resources with care:

• If you or your horse makes a mess, clean it up.

• If you use it, take care of it.

• If you borrow it, return it.

• If you open it, close it.

• If you move it, put it back.

• If you turn it on, turn it off.

• If you break it, tell someone immediately.

• If it does not concern you, mind your own business.


4.3 Respect for the Environment & Other Participants

The Soul Silo™ is a nature-based wellness environment. Please treat the land, the animals, the facilities, and all other participants and staff with respect. Do not damage plants, trees, or flowers, and please do not pick flowers or disturb the natural landscape.

Any behaviour that compromises the safety, wellbeing, or dignity of any being on the property may result in removal from the program without refund.


5. Policy Updates

The Soul Silo Collective, Inc. reserves the right to update any section of this document as services, programs, regulatory requirements, or operational circumstances change. The “Last Revised” date at the top of each section will reflect the most recent update. Where changes are material, registered participants will be notified by email.
